EVENT SERVICES / IDEAS INTO EXPERIENCES

Conference Branding
and Event Design

Working since 2010, Brandstapler Media brings your event’s visual communication together—from the first invitation to the materials delegates see at the venue. Our Noida team develops event identities, digital creatives, venue graphics and conference collateral around your audience, theme and brief.

ONE EVENT. ONE CONNECTED STORY.

Every touchpoint.
Working together.

A conference involves many pieces of communication. They need to make sense individually and work together as a whole. We help you establish a visual direction and apply it consistently to the agreed event materials. The final scope, production responsibilities, formats and delivery dates are agreed for each project.

A CLEAR START

Preparing an academic conference brief

A useful brief helps your organizing committee and creative team agree on priorities before production begins. Include:

  1. Purpose and audience: the conference theme, intended delegates and key messages.
  2. Date and venue: confirmed details, or the decisions still outstanding.
  3. Required materials: identity, invitations, digital announcements, signage, programmes and delegate items.
  4. Content and approvals: who supplies the scientific programme, speaker details, logos and final sign-off.
  5. Production responsibilities: which tasks belong to the organizer, venue, printer or other suppliers.
  6. Schedule: content deadlines, review dates and the date each item is needed.
  7. Budget guidance: an indicative range and any priorities that affect the scope.

If your brief also involves films and live streaming or delegate gifting, mention these requirements so the team can discuss the relevant scope separately.

Questions before we begin

What is the difference between conference branding and conference management?

Conference branding focuses on the event’s identity and communication materials. Conference management can involve wider operational responsibilities, such as registration, venue coordination and delegate logistics. The exact responsibilities should be agreed with the organizer and each supplier before work begins.

What does Brandstapler’s event design work include?

Our event design work includes event identity, invitations and digital creatives, venue graphics and conference collateral. Share your required deliverables so the team can confirm the project scope.

What should we send with an enquiry?

Share your event purpose, audience, date, venue, required materials and review deadlines. If some details are undecided, tell us what is confirmed and where you need to explore options.

Can we discuss films, live streaming or delegate gifts too?

Yes. Include these requirements in your brief so the team can discuss the relevant services and responsibilities. Availability, technical requirements, gifting options and delivery dates need confirmation for the specific project.
